You need to send a fax. You do not own a fax machine. Here's what to actually do.
It happens more than you'd think — a title company, a doctor's office, or a government form asks for a fax, and the last physical fax machine you saw was in a school office a decade ago. The good news: you don't need one. Here's what your options actually are.
The general options
- Online fax services let you upload a document through a website and send it to any fax number, no hardware involved — this is the most direct replacement for a physical machine.
- Email-to-fax works with some providers: you address an email to the recipient's fax number at a special domain, attach your document, and it gets converted and sent as a fax.
- Mobile fax apps do roughly the same thing as an online service, but from your phone — handy if you need to photograph a document on the spot and send it immediately.
- An all-in-one printer connected to your computer can often send faxes over a phone line if you happen to have one and the right software — a legacy option, but it still exists.
- Copy shops, libraries, and shipping stores (UPS Store and similar) will often send a fax for you for a per-page fee if you'd rather hand someone a physical document.

A couple of tips for a clean send: make sure your PDF is right-side-up and legible — a scanned photo of a document at an angle is the single biggest cause of a rejected or illegible fax on the receiving end — and confirm the destination number's country code if you're sending internationally, since a malformed number is the most common reason a fax never connects at all.
